ADMINISTRATIVE DIRECTOR
Job Description
Summary: The Administrative Director is responsible for general administration of the ARS and the operation of its business office. He or she reports to the President and Board of Directors, and is responsible for working with the Board, ARS members and other stakeholders to carry out ARS programs and represent its interests. The Administrative Director should follow Board guidelines, execute policy of the ARS, oversee staff and independent contractors, and delegate tasks where appropriate. The Administrative Director handles finances and bookkeeping, office management, website content and administration, and the ARS newsletter.
Reports to: President, Executive Committee, Board of Directors
Required Experience: Office management and QuickBooks
Desired Skills: (1) Strong organizational and communication skills; (2) ability to handle a variety of tasks and projects simultaneously; (3) proficiency in (a) non-profit accounting, (b) website management, (c) event registration, (d) membership management, (e) ability to meet tight deadlines and assist others in doing so, and (f) relevant software programs, including Google Suite, Adobe Acrobat, Constant Contact, MS Office Suite, ADP Payroll, Zoom, Pirate ship/Stamps.com, Membership Database, HTML or web site content entry.
Responsibilities:
- General
- Work professionally with board members, other staff, the editor of American Recorder, business members, and vendors.
- Carry out ARS programs effectively, and represent ARS interests in the larger community of ARS stakeholders, comprising:
- ARS members
- ARS chapters, consorts and recorder orchestras
- Recorder professionals
- Recorder students of all ages
- Vendors
- Donors
- Other music organizations
- Manage the ARS office, including supervision of an assistant and coordination with American Recorder Magazine editor and other independent contractors.
- Administrative
- Maintain corporate and personnel records, state and local licenses
- Evaluate and monitor Insurance for Workers Compensation, Property/Liability Insurance, and Directors and Officers Liability Insurance
- Maintain communication with Chapters, Consorts, Recorder Orchestras, and their members
- Process membership applications and renewals
- Work closely with Board committees to complete tasks and the election of Board members (every two years), serve as ex officio on selected Board committees
- Other duties as assigned
- Financial
- Prepare annual budget with input from the Board and assistance from the Finance Committee
- Maintain financial books and records, and provide monthly statements to the Board
- Maintain records and file state and federal reports (about 35 annually)
- Process payroll, invoicing and billing, reconcile bank and investment accounts and credit card transactions
- American Recorder, ARS News, and Other ARS Publications.
- Solicit material and produce monthly online newsletter
- Work closely with the editor of American Recorder, to provide content, obtain copyright permissions and maintain subscriber data
- Approve and edit calendar events

- Assist with planning and executing for:
- Board meetings
- Music festivals and conferences—ARS exhibitions and activities
- Play-the-Recorder Month
- Attend all Board Meetings and selected festivals and conferences
- Website
- Create content and updates, with assistance from Board members
- Maintain membership database and online store
- Salary, other details
- Salary range of $55,000 to $70,000 negotiated based on experience
- No relocation required
- Home office desirable
- Start date August 1, 2026 (negotiable)

The American Recorder Society is a nonprofit 501(c)(3) membership organization with nearly 150 affiliated chapters, consorts, and recorder orchestras throughout North America. The ARS exists to promote the recorder and its music, and to support the community of recorder players, both amateur and professional. The ARS is governed by an elected Board of Directors and employs a full-time Administrative Director and a part-time administrative assistant.
